The Opportunity:

We are looking for an office support person to work in our busy and growing Jersey City. At a high level, you will be responsible for facilitating a smooth day-to-day operation of the office and for ensuring clear communications between our US and UK teams.


Duties & Responsibilities:


General Office Management:

  • Maintain a well-organized and creative workspace that reflects the agency’s brand.
  • Order and manage office supplies, ensuring all materials are available for meetings and presentations.
  • Coordinate office maintenance and liaise with service providers (cleaning, IT, utilities, etc.).

Administrative & Creative Support:

  • Assist with contracts, agreements, and paperwork related to illustrators, authors, and publishing deals.
  • Maintain organized digital and physical filing systems for artist portfolios, contracts, and submissions.
  • Support agents and managers by preparing documents, reports, and presentation materials.
  • Support the finance team.

Reception & Communication:

  • Be the first point of contact for illustrators, authors, publishers, and clients, ensuring professional and friendly communication.
  • Manage agency email accounts, responding to inquiries and forwarding them to the appropriate team members.
  • Answer and direct phone calls, taking messages when needed.
  • Greet and assist visitors in a professional manner.

Talent & Client Support:

  • Assist in scheduling meetings between agents, illustrators, authors, and publishing clients.
  • Help manage artist and author submissions, organizing portfolios and ensuring prompt responses.
  • Maintain databases of talent, clients, and industry contacts.

HR & Employee Support:

  • Assist in onboarding new employees (preparing documents, setting up workspaces).
  • Maintain staff records and coordinate training sessions.
  • Handle basic HR-related inquiries and support HR processes.

IT & Equipment Coordination:

  • Troubleshoot minor IT issues and coordinate with IT support when necessary.
  • Ensure office equipment (printers, computers, etc.) is functioning properly.

Event & Meeting Coordination:

  • Organize internal and external meetings, ensuring proper setup and documentation.
  • Assist in planning and executing industry events, book fairs, and agency networking sessions.
  • Coordinate travel and accommodations for agents or talent attending industry events.

Job Requirements:


Education & Experience:

  • High school diploma or equivalent (Bachelor’s degree in Business Administration, Arts, Publishing, or a related field is a plus).
  • 1-3 years of experience in an administrative role, preferably within a creative agency, publishing, or talent management industry.

Skills & Competencies:

  • Excellent organizational and time-management skills, with an ability to handle multiple projects.
  • Strong written and verbal communication, with a friendly yet professional demeanor.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with industry tools (Trello, Slack, or other project management software would be a plus).
  • Attention to detail and the ability to manage contracts, invoices, and confidential information.
  • Passion for illustration, publishing, and the creative arts.

Other Requirements:

  • Ability to work independently while supporting a team in a fast-paced, deadline-driven environment.
  • Familiarity with the publishing and illustration industry is a strong plus.
  • Interest in working closely with illustrators, authors, and agents to support their creative and professional needs.
  • Right to work within the US. (Visa sponsorship not available)
  • While not a requirement, this role is ideal for a current Jersey City resident.
